Administrative Assistant

Procurement and Back Office Support

Summary:

We are seeking a proactive and versatile Administrative Assistant to join our client’s remote team. This role will primarily involve handling general back-office tasks while also managing communication with suppliers regarding purchasing, ordering, and supply agreements.

Key Responsibilities:

  • Manage general administrative tasks including email correspondence, data entry, and document preparation.
  • Handle back-office administrative functions, including but not limited to managing virtual filing systems, scheduling appointments, and organizing meetings.
  • Handle communication with suppliers regarding purchasing, ordering, and supply agreements.
  • Assist in procurement processes, including sourcing new suppliers, negotiating prices, and maintaining supplier relationships.
  • Coordinate with internal teams to ensure timely and accurate processing of orders and shipments.
  • Maintain organized records of purchase orders, invoices, and contracts.
  • Monitor inventory levels and assist in inventory management.
  • Provide administrative support to other departments as needed.

Qualifications:

  • Bachelor’s degree in business administration, Supply Chain Management, or a related field preferred.
  • Minimum of 3 years of experience in an administrative or procurement role, preferably in the automotive industry.
  • Familiarity with procurement processes.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time management abilities.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook).
  • Ability to work independently and prioritize tasks effectively.
  • Experience in the automotive industry or parts procurement is a plus.

Highly regarded Skills/Experience:

  • Previous experience in procurement or purchasing roles.
  • Knowledge of inventory management software.
  • Familiarity with procurement processes specific to New Zealand, including local and international sourcing strategies, compliance requirements, and import/export regulations.

Technical Requirement

Computer Hardware:

  • Highly Preferred: MAC laptop
  • Windows-based Computer (Desktop or Laptop)
  • Processor: At least Intel Core i5 or equivalent.
  • RAM: Minimum 8GB (16GB preferred).
  • Storage: At least 30GB of free disk space available.
  • Display: Dual Screen Display Monitor (24” widescreen monitor recommended).
  • Connectivity: One available USB port for the headset.
  • Headset: Noise-canceling headset like Plantronics or Jabra.

Computer Software:

  • Operating System: Windows 10 Pro (Only).
  • Updates: Must have the latest Windows updates installed.
  • Antivirus: Must have an antivirus software installed and regularly updated.
  • Software Cleanliness: There MUST be no Possible Unwanted Applications (PUA), Malware, or adware installed.

Internet Service:

  • Should have cable or fiber internet service.
  • Minimum upload speed (25mbps)
  • Minimum Download Speed (25mbps)

Network:

  • Computer must be connected via LAN at least 100MBPS.
  • Good reception for WIFI
